What should you do first when commercial refrigeration is warming?
1. Record the temperature and time
Write down the displayed cabinet temperature, the set point, the time you made the observation, and whether the reading appears stable, rising, or rising rapidly. If the facility procedure requires an independent temperature measurement, follow that procedure now. Do not rely only on the cabinet display for a product-disposition decision.
2. Photograph the nameplate and display
A clear photo of the equipment nameplate gives the manufacturer, model, serial number, voltage, and refrigerant in one image. A photo of the display or controller captures the temperature, set point, alarm code, and time without handwriting errors.
3. Follow the facility's food-safety and product-transfer procedure
The decision about what to do with the product—keep, transfer, or discard— belongs to the facility's food-safety plan, the applicable regulation, and the responsible authority. Indiana guidance generally identifies 41°F or below for applicable cold holding, but time and actual product temperature measurements determine the actual decision.
4. Minimize unnecessary door openings
Unless the facility procedure requires otherwise, limit door openings to reduce warm-air infiltration until the condition is resolved.
5. Submit a commercial service request
Provide the facility address, equipment type, manufacturer, model, serial number, current and target temperature, time out of range, product-at-risk status, alarm code, and access requirements. A provider can then determine whether it has the location, equipment, schedule, and credential fit for the request.
What should staff avoid doing while waiting for a technician?
- Do not repeatedly reset a breaker or overload that continues to trip.
- Do not open an electrical enclosure or test exposed energized parts unless authorized and qualified under the facility's safety program.
- Do not attach gauges, add refrigerant, remove refrigerant, cut a line, or open a refrigerant circuit. EPA requires Section 608 certification for covered work that could release refrigerant.
- Do not use an open flame, torch, heat gun, sharp tool, or improvised device to remove ice.

What information helps a commercial refrigeration provider prepare?
Equipment identity
- Equipment category: walk-in, reach-in, prep table, display case, beer cooler, ice machine, cold room, or other
- Manufacturer, model number, serial number, voltage and phase, refrigerant from nameplate
- Self-contained, remote condensing unit, rack-connected, or unknown
Temperature and timing
- Displayed temperature and product temperature under the facility procedure
- Target or set point and last known normal reading and time
- Time the issue was discovered and whether temperature is stable, rising, or intermittent

Common questions about a commercial refrigerator that is not cooling
Should I turn the unit off?
Follow the equipment manual, facility safety procedures, and provider direction. A unit with smoke, arcing, a burning odor, exposed wiring, repeated electrical trips, or another immediate hazard should not be treated as a normal operating condition. Do not enter electrical panels or attempt energized testing unless qualified and authorized.
Can I add refrigerant to get through the shift?
No unqualified person should attach gauges or add refrigerant. EPA Section 608 certification is required for covered activities that could release refrigerant. A low charge also indicates that the system needs an appropriate diagnosis rather than an automatic refill.
Should I melt ice from the evaporator?
Do not use open flames, sharp tools, or uncontrolled heat. The correct response depends on the equipment, the location and cause of the ice, electrical safety, drainage, product protection, and manufacturer instructions. Record the ice pattern and ask the provider how the equipment should be safely taken out of service or defrosted.
What if the unit cools again before the technician arrives?
Keep the request details. Intermittent temperature rise, alarms, rapid cycling, trips, or failed recovery may still justify inspection. Record when the unit recovered, what changed, and whether the condition has happened before.
