Why can two commercial refrigeration quotes be far apart?

How much does an emergency refrigeration call add?
There is no universal emergency premium. Providers may use a higher dispatch charge, overtime labor, a minimum number of hours, portal-to-portal time, or a different holiday rate. Some can perform only stabilization during the first visit if the correct part, refrigerant, lift, or additional technician is unavailable.
Ask these questions before authorizing dispatch:
- What is the after-hours diagnostic or dispatch charge?
- What labor rate and minimum apply?
- Is travel billed?
- Can the provider service this equipment and refrigerant?
- Is the first visit intended for diagnosis, stabilization, or complete repair?
- What can be approved onsite, and who has purchasing authority?
- What happens if the required part is not available?
- What written findings and temperature or operating records will be provided?
How do refrigerant type and charge size affect cost?
Refrigerant work may require leak detection, recovery, repair, evacuation, charging, verification, cylinder handling, and records in addition to the refrigerant itself. The cost can change materially based on the refrigerant, full charge, amount lost, leak location, component access, and whether the equipment is subject to specific federal requirements.
EPA Section 608 requires certification for technicians who service equipment in ways that could release refrigerant. Beginning January 1, 2026, separate federal HFC leak-repair provisions apply to certain refrigerant-containing appliances with a full charge of at least 15 pounds and a covered refrigerant. Applicability depends on the actual appliance and refrigerant; do not assume every reach-in or walk-in falls under the same rule.
What should be written on the estimate before approval?
Ask for a written estimate or authorization that identifies:
