A commercial refrigeration failure log creates the record that turns an individual event into useful pattern data. When a cooler, freezer, or ice machine fails again, you want to know the previous part, the prior technician's findings, the refrigerant history, the total cost to date, and whether the last three events share a common cause.

The log format below is free to copy, adapt, print, or load into a spreadsheet. There is nothing to install and no account required.

Why keep a commercial refrigeration failure log?

Facilities that track failures tend to identify problems earlier, compare service quotes more accurately, support warranty and insurance documentation, and recognize when repair history is building a case for replacement. The log makes routine preventive-maintenance reviews more useful and protects the facility when a food-safety question or liability event requires a documented timeline.

What fields should a commercial refrigeration failure log include?

How to use the log with a spreadsheet

Create one row per event. Use columns for: Asset ID, Date Detected, Equipment Type, Condition, Diagnosis, Work Performed, Parts, Refrigerant Work, Total Cost, Invoice Number, Warranty, Status. Filter by Asset ID to see the full history of one piece of equipment. Filter by Status to find open or pending items. Sort by Date to identify recurring seasonal patterns.

Add a separate tab for asset inventory:

When a provider replaces a part, update the asset record with the new component, part number, and date. This builds a living asset record without waiting for a formal asset-management system.

How does the log support a repair-versus-replacement decision?

Sort the log by Asset ID and add up the total cost column. Identify how many service events covered the same root cause or the same component. Note the refrigerant work history. If a piece of equipment accounts for a disproportionate share of service events, cost, and downtime, that data supports a formal replacement comparison.

The log also supports the replacement conversation by identifying which assets are fully documented, which nameplates are missing, and which equipment has no service history on record—a risk in itself.

Does the log replace a food-safety record?

No. Food-safety temperature logs, HACCP monitoring records, corrective-action documentation, and product-disposition decisions are governed by the facility's own procedures and the applicable health, food-safety, and regulatory requirements. This log records the refrigeration equipment event and service activity. Whether temperature data satisfies a separate regulatory or food-safety requirement must be confirmed with the responsible authority.

Should the log include refrigerant records?

Yes, when any refrigerant work occurred. Record the refrigerant type and charge, whether refrigerant was added or removed, whether a leak was found and repaired, whether the circuit was recovered and recharged, whether EPA Section 608 certification was confirmed, and the date and provider name.

EPA regulations require records for certain covered equipment. The responsibility for maintaining those records rests with the equipment owner and the servicing technician, not this website. A log entry should capture what the provider documented; it does not substitute for the provider's refrigerant work records.

How should the log be stored?

Use a shared drive folder, a work-order system, or a labeled binder that the next manager, facility coordinator, or technician can locate without a handoff meeting. Back up digital records. Attach scanned invoices and photos to the relevant entries. A log that only one person can find or access is not useful when an insurance claim, health-department question, or capital request arrives.
