This privacy policy describes how Indianapolis Commercial Refrigeration (“we,” “us,” or “the service”) collects, uses, and protects information when you visit https://indianapoliscommercialrefrigeration.com or call the commercial refrigeration service request line published on this site.
Do Not Submit Sensitive Personal Information
Please do not submit credit card numbers, bank account numbers, government identification numbers, employee records, medical information, customer records, login credentials, or confidential facility documents through the contact form, email, or call line. Only the information needed to route a commercial refrigeration service request should be sent.
Photo Warning
If you send equipment photos, avoid including people, payment information, proprietary documents, customer data, employee records, or other unrelated sensitive information. Helpful photos are limited to the equipment nameplate, controller display, error code, and visible failure points. Mask, crop, or blur any sensitive fields (account numbers, names, badges, license plates, point-of-sale displays, login screens) before sending.
Information We Collect
Service request information. When you submit the contact form or call the service request line, we collect the information you provide — typically business or facility name and address, your name and role, phone number, email address, equipment type, brand and model, current and target temperature, urgency, symptoms, photos, documentation needs, and a description of the refrigeration issue. This information is used to route your request to a qualified service provider.
Call tracking and recording. The phone number displayed on this site is a CallRail tracking number. CallRail captures caller phone number, call duration, call recording, and the marketing source associated with the call. Calls may be recorded for quality, training, and dispatch routing purposes. By calling the number, you consent to call recording. If a recording disclosure played at the start of the call is required by your jurisdiction, the call recording notice should be reviewed for compliance with applicable law.
Text / SMS follow-ups. If you text or send SMS follow-ups to the line, those messages may be retained as part of the service-request record. Standard message and data rates from your carrier may apply.
Analytics. The site uses Google Analytics 4 (GA4) to measure visits and engagement and Microsoft Clarity to capture session-level interaction data (heatmaps, session recordings of browser behavior). Both tools collect device, browser, geolocation (city-level), referrer, and behavioral information. IP addresses are anonymized in GA4 where supported.
Cookies and similar technologies. Cookies and similar identifiers are set by GA4, Microsoft Clarity, and CallRail to attribute behavior across pages and visits. You can disable cookies through your browser settings; some site features may be reduced.
How We Use the Information
- To intake, route, and dispatch commercial refrigeration service requests
- To follow up on requests, schedule service, and confirm provider details
- To improve the website, content, and intake experience
- To measure marketing performance and optimize service availability
- To respond to legal requests and enforce our terms of service
Third Parties and Service Providers
Service request information is shared with the dispatched commercial refrigeration service provider for the sole purpose of reviewing, routing, and completing your service request. Information is shared only with the provider being asked to consider your specific request, and only the request details needed for that purpose. We do not broker, syndicate, sell, rent, or share leads with general lead-buyer networks, lead-resellers, or unrelated marketers.
We use the following third-party processors: CallRail (call tracking), Google Analytics 4 (web analytics), Microsoft Clarity (behavioral analytics), and Formspree (form submission processing). These vendors process data on our behalf under their own privacy and security terms.
No Sale to Unrelated Marketers
We do not sell personal information to data brokers or unrelated marketers. Service request information is used to fulfill the request and for the operational purposes described in this policy.
Independent Provider Privacy Practices
If your request is routed to a provider, that provider is an independent business responsible for its own privacy practices, service work, invoices, warranties, insurance, licensing, and documentation. Once a provider receives your request, the provider's own privacy and data handling terms apply to any additional information you share directly with them.
Data Retention
Service request records (form submissions and call records) are typically retained for up to 24 months after the request is closed, for warranty, recordkeeping, and dispute-resolution purposes. Call recordings are retained per CallRail's default retention window (currently 12 months at the time of writing) and may be shortened on request. GA4 event-level data is retained for up to 14 months by default, and Microsoft Clarity session data is retained per Clarity's default retention window.
Security
We use commercially reasonable safeguards to protect the information we process. No method of transmission or storage on the internet is perfectly secure, and we cannot guarantee absolute security. Sensitive personal information should not be sent through this service request line.
Your Rights
You may request access to, correction of, or deletion of personal information you have provided through the service request line by emailing service@indianapoliscommercialrefrigeration.com.
Indiana residents. The Indiana Consumer Data Protection Act provides certain rights — including the right to access, correct, delete, and obtain a copy of personal data, and to opt out of targeted advertising and the sale of personal data. Indiana's law applies to controllers that meet specific processing thresholds; not all small operators are subject to it, but we will honor reasonable requests submitted by Indiana residents to the address above. Residents of other states with applicable consumer-privacy laws may have additional rights and can submit similar requests.
Site Operator
This website and the commercial refrigeration intake line are operated by Indianapolis Commercial Refrigeration. The operator is the publisher of the website and intake line and is the data controller for information collected through the site. Repair work, invoicing, warranty, scheduling, on-site safety, and provider-side data handling belong to the assigned independent local commercial refrigeration service provider.
Children
The site is intended for commercial food service operators and facilities managers and is not directed to children under 13. We do not knowingly collect personal information from children.
